Description:

Reporting to the Manager Operations Support within the Procurement and Systems Optimization Secretariat (PSOS), and operating within a collaborative team framework, assumes responsibility for securing contract signatures from vendors and facilitating the procurement and exchange of contract documentation among internal and external stakeholders. Duties involve the methodical maintenance of contracts within the contract record management system - Contract Lifecycle Management (CLM), ensuring the accuracy of stored data. Additionally, the position is tasked with ensuring compliance to the standards defined in Canadian trade agreements and organizational policies and procedures, including routing audit and FOIP information requests. The duties for this position include the provision of training and assistance to all personnel regarding the enforcement of records management policies, procedures, and optimal practices pertaining to information management. The position will also facilitate access and administrative support for financial, supply chain systems to advance the delivery of patient-centric, safe and high-quality healthcare for all Albertans.

This position oversees the management of user access and account information within procurement systems. This involves the maintenance of corporately held accounts for all departments within Alberta Health Services (AHS), including those for Grand & Toy and Amazon, as well as the setup of external customer accounts for external purchasing portals and access to Oracle roles and responsibilities.

Key duties will include the following but are not limited to:
• Proofing and formatting system access documents.
• Record tracking in Excel.
• Answer phone calls and emails.
• Create documents as required.
• Act as point of contact for stakeholders.
• Provides contract administrative support to Contract Coordinators regarding documentation, reporting, filing, contract maintenance and monitoring.
• Reviews requests from AHS Contracting department.
• Process and triage all submitted requests.
• Support the provision of access to various online platforms.

Working Hours/location:
• Standard Hours of work are 8:15 to 4:30 with a 1 hr lunch break Alberta time, Monday through Friday excluding holidays observed by the province.

• This posting is listed as Hybrid although resource will primarily work remotely; however, the resource may be required to attend meetings or work sessions in office on reasonable notice from the Province. However, time to travel and any associated expenses to and from Edmonton and/or travel within Alberta will be at no cost to the Province.

Mandatory Training Courses:
• Once hired the resource will be required to complete all mandatory training which includes but not limited to Freedom of Information and Protection of Privacy Act, Security/Cybersecurity, Information Management, and Respect in the Workplace. There may also be other mandatory and/or optional training.

Equipment requirements:
• the Province shall provide the requisite office space, Computer, furniture and office supplies. The Province shall continue to ensure that the Contractor’s resources have the necessary access and credentials to the Government of Alberta’s system.
• The contractor is responsible for picking up and dropping off equipment at their own expense.


The fixed rate quoted must be inclusive of all overhead, office space and equipment, including supplies, administrative burden, mark-up, and all other costs to perform the Services for the duration of the Contract.
