General Scope
The candidate selected for this position will perform a variety of tasks as a member of the leadership team for the OIT PALM Program. The candidate must be highly motivated, a self-starter, an independent worker with high initiative. The candidate must have excellent communication, organization, and critical thinking skills with a keen attention to detail and be able to perform with little guidance. The scope of work the candidate will perform is broad. The candidate should possess knowledge, skills, and abilities in project and resource management, analysis, time management, document management, and service management. The candidate will assist project and program managers with documentation, facilitation, reporting, analysis, and other project delivery activities as needed. The candidate will perform tasks associated with administration such as hiring, onboarding, and separation as needed. The candidate will also write and edit internal documentation, maintain internal SharePoint sites, and maintain PowerAutomate workflows.
Education:
Bachelor’s Degree in Computer Science or another related field preferred. Equivalent experience as described below can substitute for a degree.
Experience:
Experience in analyzing a situation to determine what tasks need to be completed.
Experience in Microsoft Office, specifically Word, Excel, and PowerPoint. Required.
Experience working in State Government is highly desired.
Experience working with ServiceNow is highly desired.
Experience in onboarding and training employees.
Experience in utilizing My Florida Marketplace for tracking Purchase Orders is highly desired.
Experience in constructing workflow diagrams and flow charts. Highly desired.
Experience in creating and maintaining SharePoint sites and workflows is highly desired.
Experience working on agile project teams is highly desired.
Experience assisting or managing small projects is highly desired.
Experience using Azure DevOps or other Agile task management software is highly desired. .
Tasks and Activities
The activities this candidate will be tasked with include, but are not limited to the following:
Perform various administrative and project-related activities in support of the OIT PALM Remediation Program,
Analyze and document processes and procedures and create process diagrams
Create documents, spreadsheets, presentations, diagrams
Utilize Service Now for Time Management, Configuration Management, and Service Management activities
Manage backlogs and work items in Azure DevOps
Manage and improve SharePoint sites and document libraries
Assist with hiring activities including; developing Statements of Work, reviewing candidate resumes, developing candidate review sheets, conducting phone screens, scheduling interviews, and other administrative activities related to hiring.
Perform onsite onboarding duties including; orienting new users to the FDOT environment, assisting users with timesheet maintenance, coordinating workstation setup.
Other activities related to staffing including; Conduct annual recertification activities Track training for all staff, assist in the management of consultant hours to avoid overages, partnership with other offices in procuring staff and services
Inspire a communicative and collaborative Team Environment
