Key Responsibilities:

 

System Design & Implementation:

  • Develop and deploy a scalable, efficient document management system tailored to organizational needs.
  • Analyze stakeholder requirements and translate them into functional system specifications.
  • Ensure optimal performance, reliability, and scalability of the DMS.

Policy Development:

  • Establish document lifecycle management policies covering creation, storage, retrieval, and disposal.
  • Implement access control measures to safeguard sensitive data.
  • Develop and maintain version control policies to manage document updates efficiently.

System Integration:

  • Ensure seamless interoperability between the DMS and enterprise systems (ERP, CRM, HR platforms).
  • Lead data migration strategies to transfer existing documentation into the new system.

Security & Compliance:

  • Enforce document security best practices to prevent unauthorized access and data breaches.
  • Ensure compliance with industry regulations such as GDPR, HIPAA, and other relevant standards.

Training & Support:

  • Provide staff training on document management procedures and tools.
  • Offer technical support to resolve issues related to the DMS.

Audit & Quality Control:

  • Conduct regular system audits to ensure data integrity and adherence to compliance standards.
  • Implement quality control measures to maintain document accuracy and accessibility.

 

Required Qualifications:

 

  • Education: Bachelor’s or Master’s degree in Information Technology, Computer Science, or a related field.
  • Experience: Several years of experience in document management, IT architecture, or enterprise system integration.
  • Technical Proficiency: Strong knowledge of document management software (e.g., FileNet, SharePoint), database management, and IT infrastructure.
  • Soft Skills: Excellent problem-solving, analytical, and communication skills.
