Communications Specialist - Senior
Description:

The work of the Writer will include the following:
• Attending Public Advisory Panel (the Panel) meetings to ensure the recommendations made by the Panel are captured. The recommendations will need to be drafted into a report(s) for review by the Minister.

• The work is part-time, and the writer must have the flexibility to attend the Panel meetings as the Panel sets them. Details are outlined below.

Panel Meetings Preparation Phase:
• An initial meeting with Service Alberta and Red Tape Reduction (SARTR), the Chair of a Public Advisory Panel (the Panel), and the Facilitator, to discuss the role, expectations for the writing/editing approach including an opportunity to ask questions about the Panel’s scope of work.

• Confirm the responsibilities and requirements for drafting report(s) and recommendations for the Minister and become familiar with supporting documents and guidelines.

During the Panel Meeting Phase:
• Maintain ongoing communication, including active listening and observation, with panel members, the facilitator, and the department to ensure all record keeping and decision making has been accurately and appropriately captured.
• Accurately capture meeting minutes and organize the information clearly and concisely for the panel members, facilitator, and the department.
• Align with the Government of Alberta’s commitment for effective communication, as well as the ongoing enhancement of relationships based on honesty, fairness, professionalism, and accountability.
• Attend Panel meetings in-person, virtually and/or hybrid. It is expected that the Writer will be present for all meetings.
• Communicate clearly and effectively, to ensure discussion points leading to recommendations are understood and accurately captured.
During the meetings confirm and seek clarification on discussions, when needed. This may mean seeking clarification when the recommendations will take the form of a series of reports, one final report after the meetings are completed, or some combination thereof.

Following the Panel Meeting Phase:
• Critically review and evaluate material to ensure all necessary content is provided in the report and ensure the report(s) align with the Panel’s recommendations, including outlining areas that are non-consensual.
• Ensure the report(s) are accurate and meet standards for English grammar as set out in the Canadian Press Caps and Spelling and the Canadian Oxford Dictionary
• Work with panel members to ensure recommendations discussed in meetings are identified and captured in the written recommendations to the Minister.
• Provide a draft of the report and written recommendations to the Panel members for review and feedback, in an effective and efficient manner. This includes editing and updating the report(s), when needed.

Proposal Submission Requirements
The appropriate candidate should have the following qualifications:
• A university degree preferably in a related discipline such as bachelor’s degree in English, journalism, public relations, political science, communications, or creative writing.
• Superior knowledge of proper English grammar, punctuation, usage, and formatting, as well as appropriate Canadian Press, plain language, and Government of Alberta styles.
• Critical thinking and problem-solving skills, including the ability to analyze and synthesize information while editing and writing documents.
• Strong organizational skills, including ability to prioritize workload to meet Panel needs and department’s deadlines.
• Exceptional interpersonal skills with a history of approachability, tact, and political sensitivity.
• Ability to work as a team player with minimal supervision.
• Strong computer skills including Microsoft Office suite and SharePoint is an asset.
Please note that the meetings will either be in person, virtual, or some combination of the two depending on what the Panel members decide.

This position is part-time, with approximately 10 to 15 dedicated hours per week being allocated to Panel work. There may be weeks when more hours are necessary, and others when fewer hours are necessary.

Working Hours:
• Standard Hours of work are 08:15 – 16:30 Alberta time, Monday through Friday excluding holidays observed by the Province
The resource must be available during regular working hours but the position is part-time.

• The Supplier shall, prior to commencement of the Services, provide the Province, on its request and at no cost to the Province, with criminal record checks.

Mandatory Training Courses:
• Once hired the resource will be required to complete all mandatory training which includes but not limited to Freedom of Information and Protection of Privacy Act, Security/Cybersecurity, Information
Management, and Respect in the Workplace. There may also be other mandatory and/or optional training.

Anticipated Interviews dates
• Interviews are estimated to be held between April 15-19, 2024. This is an estimate only.
